Section 4 — Records Held by the Company
The Company holds records in the following categories. Not all records are accessible to the public — access may be refused on grounds set out in Chapter 4 of PAIA.
4.1 Financial Records
- Annual financial statements and management accounts
- Invoices, purchase orders, credit notes, and delivery notes
- Bank statements and payment records
- VAT returns and tax records
4.2 Customer Records
- Trade enquiries and quotations
- Customer contact information (name, company, email, phone)
- Order history and invoices
- Credit account agreements
4.3 Supplier Records
- Supplier contracts and purchase orders
- Supplier contact information and pricing agreements
4.4 Human Resources Records
- Employment contracts and payroll records (where applicable)
- Leave records and personnel files
- UIF and PAYE records
4.5 Corporate and Legal Records
- Certificate of Incorporation and Memorandum of Incorporation (MOI)
- CIPC registration documents
- BBBEE certificate (where held)
- Insurance policies
- Company resolutions and shareholder agreements
4.6 Operational Records
- Stock and inventory records
- Delivery and courier records
- Health and safety records (where applicable)
4.7 Digital and IT Records

- System access logs (retained for 90 days)

Section 6 — How to Submit an Access Request
6.1 Prescribed Form
Access requests must be submitted on the prescribed Form C (available from the Information Regulator's website at www.inforegulator.org.za).
6.2 How to Submit
Completed Form C must be submitted to the Information Officer by:

6.3 Information Required in Your Request
- Your full name, identity number, and contact details
- The capacity in which the request is made (personal, third-party, or public interest)
- A clear description of the record(s) you are requesting
- The form in which you require access (copy, inspection, etc.)
- Proof of identity (certified copy of ID document)
- If requesting access to information about a third party, their consent or basis for the request
6.4 Fees

6.5 Response Timeframe
The Information Officer will respond to a complete and valid request within 30 (thirty) calendar days of receipt. An extension of up to 30 additional days may apply in certain circumstances as permitted by PAIA, and you will be notified if this is the case.
6.6 Grounds for Refusal
Access to a record may be refused on the grounds set out in Chapter 4 of PAIA, including but not limited to:
- Protection of the personal information of a third party
- Commercially sensitive information (trade secrets, financial information)
- Legal privilege
- Information relating to the safety or protection of property or persons
6.7 Appeal or Complaint After Refusal
If your request is refused, in whole or in part, you may:
- Apply to the Information Regulator for a review of the decision; or
- Apply to a court of competent jurisdiction for relief, as provided in PAIA.

This manual is available:

This manual is compiled and published in good faith to comply with the obligations imposed by Section 51 of the Promotion of Access to Information Act, 2000. The Company commits to keeping this manual current and reviewing it at least annually.
